The Rexdale Women’s Centre requires an Accountant.
Background:
The Rexdale Women’s Centre is a voluntary non-profit organization that provides a variety of services and programs to refugee and immigrant women and their families in a culturally sensitive, non discriminatory and supportive environment where women and their families work together to provide their own well being.
The position of Accountant has been established to ensure the fiscal needs and controls of the organization are in place and functioning effectively and efficiently.
The Accountant is responsible for prompt, accurate financial transaction processing and control over specific accounts.
The Accountant works closely with the Finance and Administration Team and external auditors.
Reports to the Director of Resources, Finances and Operations
Responsibilities:
Budget Preparation, Financial Monitoring and Policies
- Prepare agency overall budgets based on funding allocation in collaboration with the Director of Finances and Resources and/or Executive Director
- Prepare forecasts of cash flow for all activities and the Centre
- Prepare monthly proration entries for income based on budget allocations and monthly amortization schedules
- Prepare and/or revise programme budgets for department managers and/or supervisors
- Determine amortization pro-rations for capital
- Maintain amortization schedules
- Prepare monthly financial statements
- Prepare monthly programme/project financial variance reports for monitoring
- Prepare and maintain an inventory of the agency’s equipment, renovations and capital purchases
- Works closely with the Finance Department staff to maintain accounting standards and practices
- Recommend accounting/financial policies and practises
Audit
- Work with Director of Finances and Resources and/or Executive Director to schedule annual audit
- Prepare all accounts, schedules, financial statements, etc for auditor
- Prepare necessary documents for auditor
- Work with auditor and obtain necessary documentation
- Liaises with auditor as required
Financial Claims, Reports and Monitoring
- Prepare all financial expenses claims and/or reports as required by funders, projects, etc
- Assist with financial monitoring requirements from funders and government agencies
Account Payable & Accounts Receivable
- Review and monitor all GL accounts payables and receivables in ACCPAC
- Approve and monitor requisitions based on based on approved budgets
- Review and monitor all on-line payable expenses
- Assist in preparing invoices and cheque requisitions, when needed
- Maintains all accounts payable records
Bookkeeping
- Set up and manage ACCPAC accounting system
- Review and monitor monthly proration entries
Banking
- Prepare bank deposits
- Review and monitor all bank accounts from reconciliation
- Conduct transfer of funds for accounts as necessary
- Monitor all bank accounts for sufficient funds to cover payments
Government Administration and forms submission
- Prepare government forms for submissions as required (T4, T4A, EHT, GST, WSIB, Charitable Return)
Other
- Attend team, department and board committee meetings as required
- Assist management as requested
- Assist in planning events and functions for the centre
- Purchases ACCPAC software as required and liaise with Accounting software company and consultants
Qualifications:
- Education in Accounting, Business Administration or equivalent with at least 2 years of experience. Completion or working towards CMA or CGA designation.
- Proven working knowledge and expertise in utilizing ACCPAC Sage software programme is a must
- Proven understanding, gained through experience, of non-profit, community based, charitable funding
- Proven knowledge of fund accounting
- Analytical, problem solving, time management, sound decision making skills
- Must have computer skills/ability to operate spreadsheet (Excel) and word processing programs at a highly proficient level
- Effective communications skills (both verbal and written) and the ability to work in a demanding, multi-task environment
- Must have the ability to work harmoniously with co-workers, joint venture partners and others
- Ability to work independently and as part of a team
- Sensitivity, respect and experience working in a multi-cultural, diverse workplace
- Ability to work flexible hours
- Second language/culture an asset
